Knowledge Portals &
AI Assistants

Critical knowledge shouldn't be hard to find. We design portals and AI tools that make policies and guidance accessible, consistent, and trusted.

Finding answers shouldn't be a bottleneck.
We design systems that make critical knowledge available anytime.

Answers Without Waiting
When staff need guidance, they get it immediately. No Slack messages, no waiting on the one person who knows, no digging through folders.

Consistency Across Teams
When everyone pulls from the same source, policies get applied the same way. Fewer conflicting answers, fewer mistakes.

Knowledge That Stays
When guidance lives in a system instead of someone's head, turnover and time off stop being risks. The knowledge remains.
Find what you need. Trust what you find.

Here's How We Get There
A hands-on process that turns buried policies into accessible, trusted guidance your whole team can use.
Step 1

Identify High-Value Knowledge
We work with your team to surface the questions that get asked most, the documents that matter most, and the gaps that cause confusion or delay.
Step 2
Structure and Prepare Content
We identify the documents that matter, define which versions are authoritative, and organize them so people can find what they need quickly.
Step 3
Design Access and Guardrails
We define how users interact with the portal or assistant, what content is included or excluded, and how responses stay grounded in approved sources.
Step 4
Build and Test With Your Team
We test with real staff to make sure answers are clear, the experience feels intuitive, and the system reinforces the right behavior.
Step 5
Document and Support
We provide documentation, guidance on maintaining content, and support as your policies and procedures evolve.
Still Have Questions?
What kind of content can the portal or assistant access?
chevron down icon
Anything you approve. Policies, SOPs, handbooks, procedures, guidance documents. You decide what goes in and what stays out.
How does the AI know what it can and can't answer?
chevron down icon
We design guardrails into the system. It only responds based on approved content, and when a question falls outside that scope, it directs users to the right person instead of guessing.
Will the assistant hallucinate or make up answers?
chevron down icon
No. It only uses approved content from your connected knowledge base and can link back to source material. If something isn’t available, it will say so instead of guessing or hallucinating. You can also configure it to stay strictly within your internal content.
What if our policies are outdated or incomplete?
chevron down icon
That's common. Part of the process involves identifying gaps and clarifying ownership. In some cases, we may recommend starting with our Prepare service first.
Can different roles see different content?
chevron down icon
Yes. We build role-based access so staff only see what's relevant to them. Permissions are designed around how your organization actually works.
What happens when policies change?
chevron down icon
The system is built to be maintained. We provide documentation and guidance so your team can update content as policies evolve.
